Introduction

WedMap (“we,” “our,” or “us”) is a wedding planning application available at wedmap.wedding. This Privacy Policy explains how we collect, use, and protect your information when you use our service.

Information We Collect

Account Information

When you create an account, we collect your name and email address through Google Sign-In or email/password registration. For Google Sign-In, we do not store your Google password.

Event Data

You may provide event details including event names, dates, venues, guest names, email addresses, phone numbers, mailing addresses, seating arrangements, RSVP responses, meal preferences, dietary restrictions, allergies, budget information, and wedding website content. This data is provided voluntarily by you to manage your event.

Guest Information

Event organizers may add guest information including names, titles/honorifics, contact details, invite priorities, and plus-one details. Guests may also provide their own information when responding to RSVPs, including meal selections, dietary restrictions, allergies, accessibility needs, and plus-one name proposals.

Sensitive Information, Guests & Children

Some details guests provide — such as dietary restrictions, food allergies, and accessibility needs — may reveal health or religious information and are treated as sensitive. We use them only to help the organizer plan the event (for example, sharing meal and allergy needs with a caterer the organizer chooses) and never for advertising.

If you are an event organizer, you are responsible for the guest information you add and for having a proper basis to provide it, and you should only add a child's information with the consent of their parent or guardian. If you are a guest and would like your information accessed, corrected, or removed, contact the event organizer or email us at support@wedmap.wedding.

How We Use Your Information

  • To provide and maintain the Service
  • To manage your events, guest lists, seating arrangements, and budget
  • To send RSVP reminders, confirmations, and save-the-date emails on your behalf
  • To host your public wedding website and guest portal
  • To generate your wedding planning checklist
  • To enable collaboration with partners or planners you invite
  • To respond to your support requests

Email Communications

We send emails on behalf of event organizers, including RSVP reminders, RSVP confirmations, and save-the-date notifications. Each email contains a personalized link for the recipient. We only send emails that you explicitly trigger through the Service. We do not send marketing emails or share email addresses with third parties.

Data Sharing

We do not sell, trade, or rent your personal information. Your data is only shared in these limited circumstances:

  • Public wedding websites: Content you publish is accessible via the URL you share.
  • Guest portal: The seat finder and RSVP pages display only information relevant to that guest.
  • Collaborators: People you invite as collaborators can see guest names and seating data for tasks you assign.
  • Service providers: We use Google Cloud for hosting, Google APIs for authentication and email delivery, and PostgreSQL for data storage.

Data Security

We implement appropriate security measures including encrypted connections (HTTPS), secure authentication via OAuth 2.0, hashed passwords for email/password accounts, and access controls to ensure only event owners can manage their data.

Data Retention & Export

We keep your data while your account is active. If an account stays inactive for 18 months (no sign-in), it is automatically deleted along with all associated data. Before that happens, we email you reminders about 9, 3, and 1 month in advance — simply signing in resets the clock and keeps your account.

You can download a full copy of your data at any time from Profile → Your Data, delete individual events yourself, or delete your entire account and all its data from Profile → Danger Zone. Expired login/session tokens are purged automatically.

Your Rights

Depending on where you live (including under the EU/UK GDPR and the California Consumer Privacy Act, as amended by the CPRA), you may have the right to:

  • Access the personal data we hold about you
  • Update or correct your information
  • Export your event data (data portability)
  • Delete your events and associated data
  • Request deletion of your account
  • Object to or restrict certain processing, and withdraw consent where processing is based on consent

California residents: we do not sell or share your personal information (as those terms are defined under the CCPA/CPRA), and we do not use sensitive personal information for purposes beyond providing the Service. You will not be discriminated against for exercising your rights. To exercise any right, email support@wedmap.wedding.

Third-Party Service Providers (Sub-processors)

We use the following service providers to operate WedMap. They process personal data only to provide their service to us, under their own data-protection terms:

  • Google Cloud Platform (Cloud Run, Cloud SQL) — hosting and database storage of all event and guest data.
  • Google Sign-In (OAuth) — account authentication.
  • Gmail API — sending the emails you trigger (save-the-dates, RSVP confirmations/reminders, vendor and collaborator messages). Recipient names, email addresses, and any dietary/allergy details you include pass through Google to deliver the message.
  • Google Analytics — usage and performance analytics, only with your consent. Does not receive guest names, emails, or other event data.
  • Microsoft Clarity — anonymized interaction analytics and session replay, only with your consent. Does not receive guest names, emails, or other event data.

International Data Transfers

WedMap is hosted in the United States, and our service providers above are US-based. If you or your guests are located in the European Economic Area, the United Kingdom, or elsewhere outside the US, your information will be transferred to and processed in the United States. Where required, we rely on appropriate transfer mechanisms (such as the EU-US Data Privacy Framework and/or Standard Contractual Clauses offered by our providers, including Google).

Cookies & Analytics

Essential cookies. We use first-party cookies that are strictly necessary to keep you signed in and secure your session. These are always active and cannot be turned off.

Analytics cookies. With your consent, we use Google Analytics and Microsoft Clarity to understand how WedMap is used (for example, which features are popular and where the experience can be improved). Microsoft Clarity also records anonymized interaction data such as clicks, scrolls, and aggregated session replays. These tools may set their own cookies and process data in the United States. We do not use this data for advertising, and we do not sell it.

Your choice. We ask every visitor to opt in before any analytics cookies are set — analytics storage is denied by default until you accept (Google Consent Mode v2). You can accept, reject, or change your choice at any time from the Cookie settings link in our footer, or from Profile → Cookies & Privacy when signed in.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by updating the “Last updated” date at the top of this page.
